Client history

Tattoo client history your studio will not lose

Your client list lives in your personal phone and nowhere else. That works until a client from two years ago texts about a touch-up, and you rebuild their whole sleeve from memory.

Touch-up request

Hey, it's been two years since my sleeve. The inner arm needs a touch-up. Do you still have my stuff?

Ray S. · your personal phone
Six places to search

Where client lists actually live

Ask an artist where their client list is and they point at their phone.

So the touch-up starts with a search. You scroll texts back two years to find the first message. You search the camera roll for the stencil and the healed photos. You dig through DMs for the reference images. You look for the paper waiver in a drawer, if it made it that far. You check an old calendar for session dates. You read your own notes and hope you wrote down the placement.

That's six places, and none of them are linked. All six are tied to you personally. Lose the phone, change the number or leave the studio, and the client history goes with it.

A general booking tool won't fix it. Point-of-sale apps, spa and salon software and consumer marketplaces keep appointments. A tattoo record needs the references, the placement, the waiver and every session.

Client profiles and history

On CREW.INK, the touch-up starts from the client's record.

Every client gets a record. They sign a digital waiver with a photo ID, and both stay on that record. You never dig for a paper waiver again.

Your custom intake form takes reference uploads and placement marked in 2D or 3D. At the touch-up, you open what they sent, not your camera roll.

Bookings and history live in your account. In a studio, every artist on the roster keeps their own account, clients and flash. If you move on, your clients move with you.

When that client texts the booking line instead of your personal phone, your Assistant turns the message into a structured request and drafts a reply. You review it, edit it and approve it. Nothing goes out until you send it.

You approve every booking before a deposit is taken. Google Calendar syncs both ways.

Clients in another booking app? Migration brings over your clients, bookings and history.

Reply about the touch-up? Your Assistant's draft: "Good to hear from you. Your sleeve is on file. Pick a time next month and I'll send a deposit link."

A portal the client can use

CREW.INK doesn't have a single client login that shows everything. The client uses five pieces, in this order, and none of them run through your personal phone.

Reviews, loyalty, and referrals

CREW.INK has no review tool, loyalty program or referral rewards. All three start with knowing who came back, and the client record tells you that.

01 · Review

Ask at the touch-up

At the touch-up, the sleeve is healed and the client is back in your shop. Ask for a review then, in a message you write and send.

02 · Loyalty

Know them on the first text

When a returning client texts, their record shows the sleeve before you reply. Any loyalty discount is yours to set. Running a flash sale? Tell your regulars first.

03 · Referral

Ask who sent them

Add a "Who sent you?" question to your custom intake form. The answer comes in with the request, so you know who sent them and can thank that person yourself.
